Search: Tips and Techniques

Tips & Advanced Techniques

Efficient photo management hinges on the ability to locate images quickly and accurately. Photo Supreme, a powerful digital asset management (DAM) system, offers two primary tools to streamline this process: the Search Box and the Advanced Search. Understanding how and when to use each can significantly enhance productivity and workflow.

The Search Box: Fast and Efficient

Positioned at the top-right of the interface, the Search Box is designed for fast, intuitive searches.

Global Catalog Search

The Search Box performs a global search across the entire catalog, scanning every data element associated with an image.

This includes:

  • File names

  • Folder paths

  • Embedded metadata (IPTC, EXIF, XMP)

  • Catalog-assigned labels (categories, portfolios, persons, events)

  • Descriptions, captions, and titles

  • Keywords and custom fields

  • File version information

This means that even if a search term appears only in a technical metadata field or within a custom tag, the Search Box will find it, making it exceptionally useful for general discovery.

Logical Expressions

The Search Box also supports Boolean operators:

  • "sunset beach"; Finds images containing the exact phrase

  • sunset OR sunrise; Includes results with either term

  • mountain AND winter; Both terms must appear

  • lake NOT boat; Finds images for "lake", excludes images containing "boat"

Autocomplete is often available, helping to refine the queries as you type.

Ideal Use Cases
  • Quick retrieval of known files

  • Browsing based on basic keywords

  • Rapid filtering during tagging or curation

Advanced Search: For Precise Control

For more refined searching, Photo Supreme includes an Advanced Search panel, accessible via the menu (Search > Advanced Search) or by pressing Ctrl+F (Windows) / Cmd+F (Mac).

Customizable Search Criteria

Advanced Search enables complex search queries that can include:

  • Ratings, color labels, or file status

  • Date ranges (capture, modification, import)

  • File formats (RAW, JPEG, TIFF, etc.)

  • Specific folder paths or file sizes

  • Any IPTC, EXIF, or XMP metadata

  • Catalog categories, portfolios, and custom fields

Multiple criteria can be combined using AND/OR logic, and grouped for layered expressions.

Saved and Reusable Queries

Search conditions created in Advanced Search can be saved for future use. These saved searches can also power Dynamic Search Portfolios, which auto-update whenever matching files are added to the catalog.

Tips for Effective Searching

  • Use quotation marks for exact matches

  • Combine catalog filters with search queries for precise results.

  • Use date-based filtering with the Timeline Browser for time-specific image sets.

  • For geotagged content, Photo Supreme’s GEO Search can locate images by location or within a radius.

Conclusion

Photo Supreme's combination of quick, keyword-based searching and deep, metadata-driven advanced querying provides you with powerful tools for image retrieval. Mastering both the Search Box and Advanced Search functions ensures a faster, more organized workflow, whether managing a personal archive or a professional image library.
